POLICY FOR USE OF CYNTHIA B. FOX COMMUNITY ROOM

The Cynthia B. Fox Community Room is a general-purpose meeting room located in the Sharon Public Library and is available for educational, recreational and civic purposes provided that such use does not interfere with regular library services or programs and that those groups using the room conform to the following rules:

Library events have priority for Community Room use. The Library reserves the right to cancel any reservation of the Community Room if a Library event/program needs the room.

Groups associated with the Library such as the Friends of the Library and the Library Board of Trustees or Town of Sharon boards/committees may use the Community Room at no charge.

There is no charge for the use of the Community Room by non-profit organizations (proof of non-profit status may be required). All other groups are required to pay a $15.00 fee per usage to the Town Of Sharon for the use of the Community Room. If the Library co-sponsors a program, there is no charge to use the room.

All programs, meetings etc. held in the Community Room must be open to the general public.

No admission or other fees may be charged.

Commercial solicitation is prohibited.

The Library reserves the right to refuse the use of the Community Room or cancel any reservation when it deems the action to be in the best interest of the Library and/or the Town.

Use of the Community Room by any group in no way constitutes endorsement of the group’s policies or activities by the Library.

The Community Room will not be available for use in the event that the building is closed due to emergency conditions or inclement weather. In the event of such a situation, every attempt will be made to notify any group with a reservation.

The person signing the reservation form must be over 18 years of age or older and be in attendance when the Community Room is in use. S/he shall be responsible for the conduct of the group, payment of bills and for protection of library property in connection with the meeting. The Library shall be promptly reimbursed by the signing party for any expense or damage resulting from the use of the facility.

The Community Room may only be used during normal operating hours of the Library. All programs must be scheduled to end at least 15 minutes prior to Library closing times. The Community Room must be returned to its original condition & vacated by library closing time.

For non-library related/sponsored programs, any material advertising a program to be held in the Community Room must make it clear that the Sharon Public Library is not a sponsor. Material must be submitted to the Library Director for approval prior to distribution.

Light refreshments may be served and must be confined to the Community Room. Coffeepots, cups, plates, papergoods, etc. must be provided by the group reserving the Community Room. Water may be obtained from the kitchen in the staff room.

It is understood that normal library operations continue while the Community Room is in use.

The Cynthia B. Fox Community Room may be reserved by filling out the Community Room Reservation Form, which is available in the Library administrative office during normal business hours or online at www.SharonPublicLibrary.org. Confirmation by telephone, email or in writing will follow as soon as possible.
